Facility & Access Management

Digitalisation has revolutionised the field of Facility & Access Management in recent years, enabling more efficient, secure and intelligent management of buildings and infrastructure. The integration of digital technologies into facility and access management opens up new opportunities to make the best use of resources, reduce costs and optimise the operation of buildings.

IT as the control centre

Facility and access management has undergone a profound transformation through the integration of information technology (IT). From an IT perspective, it is a sector that is increasingly characterised by digital solutions that make building management and access control more efficient, secure and user-friendly. Here are some key aspects that highlight the role of IT in facility and access management:

Smart building management

One of the most important developments in Facility & Access Management is the implementation of IoT technologies, which are installing a large number of sensors and actuators in buildings. The networking of these devices creates intelligent systems that can collect and analyse data in real time, optimising building operations and increasing efficiency. In addition, IoT integration enables preventive maintenance and rapid response to technical problems by identifying potential faults before they affect operations. This minimises downtime and promotes the longevity of systems, increasing the value and sustainability of the building. Intelligent control of energy consumption, indoor climate, lighting and other critical building functions can be further optimised through the use of AI.

Explanation of terms

The Internet of Things (IoT) enables physical and virtual objects to be networked, connected and collaborative using information and communication technologies.

Cloud-based platforms

Cloud computing has fundamentally changed the way facility and access management systems are implemented and operated. By using cloud-based platforms, organisations can access powerful, scalable and cost-effective solutions that enable centralised control and monitoring of buildings and facilities. These platforms also offer advanced security features and access to real-time data from anywhere, at any time.

Smart access control

Digitalisation has revolutionised access control and now offers a wide range of intelligent solutions for controlling and managing access to buildings and sites. Biometric access control systems, contactless technologies and mobile applications enable secure and user-friendly management of access authorisations. These systems can also be integrated with other security systems to provide a comprehensive level of security.

The smartphone as the key in over 50 countries

RISE has developed a new class of locking system for a leading manufacturer of mechanical and electronic locking systems. The system uses Near Field Communication (NFC)-enabled mobile phones to transmit locking authorisations in real time to large, cross-organisational user groups for geographically dispersed locking cylinders. Typical scenarios include emergency services, infrastructure providers or mobile home care. Until now, this could only be solved using key safes or master key systems.

The product solves the problem by centrally managing all locking authorisations in the backend software. Locking authorisations can be assigned automatically on the basis of a duty rota or ad hoc by an administrator. The locking authorisation is then transferred or revoked over-the-air to the NFC-enabled mobile phone. No online connection is required for the actual locking process. In addition, the NFC-enabled mobile phone can be used to transmit data (e.g. key blocking, access log). The system is based on an existing RFID locking cylinder, which can be easily installed in just a few minutes as a drop-in replacement for standard mechanical locking cylinders.

The Digital Facility Manager

The Digital Facility Manager as an innovation in the housing industry is more than just the notice board of the 21st century. Tenants, caretakers and central administrators are connected on a daily basis via a transaction and information centre for all sections of the population.

The Digital Facility Manager is the ideal support for implementing social sustainability in housing, promoting community living, communication between residents and with property management, and creating useful services in the right place for all generations. Site-specific, up-to-date information is presented interactively via a touchscreen in the entrance area. Of course, it can also be operated from home or the office using a mobile phone or tablet. Communal resources can be booked and used exclusively thanks to the integrated access system.

With the Digital Facility Manager, RISE once again won an important innovation prize in 2015 as the winner of the Constantinus Award.

Building owners/project developers benefit from

  • Support for social sustainability criteria in social housing construction
  • A very positive image as an innovative client
  • Differentiation in the market by offering additional services

Property management companies benefit from

  • Increasing the quality of their own services
  • Always up-to-date information on the notice board
  • Improved personal availability
  • Easy communication channel for messages to residents
  • Innovative image of property management services
  • Reduced cost of providing services
  • Easier compliance with legal notice requirements
  • Reduced maintenance costs for notice boards, less travelling
  • No unwanted notices from third parties
  • Rapid feedback from residents about faults and therefore faster initiation of fault rectification
  • Less unauthorised keys in circulation (immediate deactivation of 'lost' keys)
  • Extensive self-management of common room bookings
  • High level of traceability of common room use, reducing soiling and susceptibility to faults
  • Residents can book and manage common areas (e.g. laundry rooms) independently and transparently.

Residents/property owners (communities) benefit from

  • The latest announcements and information about the building
  • More direct communication with the management
  • Real-time information on local infrastructure (traffic reports, public transport)
  • Information on local services and providers (e.g. pharmacies, car sharing)
  • Networking with the neighbourhood (regulated communication channel between residents)
  • Easy reservation of rooms (e.g. laundry, sauna, offices,...) or facilities (e.g. urban gardening)
  • Lower running costs
  • Less dirt and repairs in common areas
  • Chip cards are cheaper than replacement keys

Scope of functions

The Digital Facility Manager is based on a modular design principle. The modules can be assembled and configured to suit the specific housing project, depending on the site situation and customer requirements.
